Dealing With Conflicts within the Workplace

It would be great to think that you would always have a harmonious relationship with your work colleagues, but the reality is that relationships can sometimes run into trouble. This probably shouldn’t come as a great surprise, given the circumstances involved.

Unless you happen to be in a very lucky situation, it’s probable that you didn’t actually get to choose your work colleagues. It’s rather more likely that you were forced together and that there was an expectation that you would be productive.

When interviewers are looking at hiring new members of staff, they will frequently consider the work experience of an individual and will be looking to assess their abilities. It’s often more difficult, however, to identify whether someone will really fit in.

In part, that’s because each business will have its own ethos and working environment. It’s not correct to assume that it will be easy for everyone to adapt to the unique demands that are associated with a situation.

But conflicts don’t only occur when someone new joins the organization. In fact, it’s often the case that a level of stress, created by the pressures of working life, can cause a conflict to emerge. When we are under pressure, we may act in haste. We may so, or do, things that we later come to regret.

Although it’s clear that the priority should be to keep calm and to avoid encountering such issues, it’s also true to say that it’s incredibly hard to avoid problems. What is critical is that you have a response that you can rely on.

In general terms, your aim should be to remain professional at all times. Although the issue that you have with another individual may make life uncomfortable and you may feel that the other person is acting unreasonably, it’s vitally important that you should avoid responding in a similar manner. That’s only likely to make things worse and it probably won’t be very positive to your career prospects.

Instead, you need to think about how you can handle the situation. It may be that a frank discussion with the other individual is all that’s required, but that may not be appropriate. You’ll need to judge whether that’s likely to make things better, or whether it may simply inflame the situation. You very clearly don’t want to make things worse.

A more realistic approach may involve reporting the situation to a senior manager. In this case, you need to be careful that you provide all of the facts and that you take a fully objective approach. It can be tempting to paint a picture of the behaviour of the other person that is intended to show them in a bad light. It’s usually best to avoid such a temptation.

Instead, explain the problems that you are having and how they are having an impact on the smooth operation of the business. This should ensure that your manager views the situation with the sort of importance that it clearly deserves.

There’s no business like snow business

This year we have been hit by snow on a few occasions causing disruption throughout the UK, seeing villages without power and major road networks grinding to a halt. Businesses have had employees stuck at home, whether snowed in or looking after children because the schools closed and there’s more snow to come. So what are businesses doing to ensure they can keep operational during these inconvenient weather spells?

Speaking to a head of projects last week, he told me that he has worked hard with his business (a major blue chip) to ensure all project staff can be mobile. He said that although there is a fundamental requirement to be on site for effective PM – senior management keen to keep everyone together (and where they can see them I am sure), he had convinced the SMT that the project team can also benefit from working remotely. He stressed that being in a very rigid environment where reporting, rigorous analysis and updating of the project library for the PMO was mandatory that quiet time can be very beneficial for individuals to get on with often technical and tricky pieces of work with less interruption. This was his business case a few years back and now as unavoidable circumstances leave staff stranded at home – they can still get on with their work and reduce impact to the business. Another part of his business case was to introduce a trust ethos and make a happier employee.

Snowed in

Forcing employees onto the road in treacherous conditions, having them arrive hours late because of traffic and leaving early in the hope of getting home without any incidents is a waste of valuable time and effort plus it says a lot about how the employer views you and your safety over the business. Most project teams, especially the delivery staff tend to be mobile and can work remotely these days due to project on/off site requirements, however a great deal of the support staff and PMs in other industries are still expected to be in the office 5 days a week. An issue seen by employers is that they would need to supply staff with equipment and internet access to make the move – however if you approach staff and say the opportunity is there for you if you have a PC and internet access (let’s face, who doesn’t these days really?) and most employees have work mobiles or commonly use their personal mobiles for work.

Snow days do not necessarily mean no work days – sorry to put a dampener on it, but in times of austerity needs must. Keep calm and carry on!

12 Steps To Make The Most Of Your Internship

An internship is an opportunity that’ll prepare you for the rest of your career. An internship takes you out of your ‘student mentality’ and brings out the young professional in you. Still, an internship won’t mean much if you don’t know how to leverage one. Here are 12 steps to make the most of your opportunity.

1. Think Of It As A 10-Week Reverse Interview

Consider each day as just another day of your interview so that you’re sharp, focused and diligent. Would you lax off on your interview day? No you wouldn’t. Continue to impress each day and you’ll win.

2. Make An Impact

Make a measurable impact by thinking ahead and beyond, asking astute questions, showing your intelligence, willingness and dedication. Volunteer for advanced tasks and spend extra time to learn stuff from your superiors.

3. Ask For Help When You Need It

If your boss is the kind that expects you to learn on the job, don’t feel intimidated. If you’re stuck with something, don’t waste precious hours. Ask for help –your initiative will be noted, along with your efforts to save time.

4. Ask For Feedback

Ask your manager to give you feedback at the end of each week. Write down the feedback and the next week, show your manager what you did with the feedback given. Then ask for that week’s feedback.

5. Make Friends

Smile often and always make some pleasant conversation, though respectful and limited. It’s ok to be friendly with everyone, even your superiors. Make friends of everyone, from the mailman to the top man. All your friendships can be turned into your network later on.

6. Explore The Company’s Culture

Understand how your company works – the working culture, the dress culture, holiday culture and so on. Then compare this data with other companies. You’ll find many parallels within the same industry. This due diligence will help you follow the right culture when you begin your career.

7. Be Visible

One of the biggest complaints from managers is that their intern is invisible. Be visible. Be seen. Be known. Make yourself visible by voicing your thoughts and opinions respectfully, with confidence. Don’t hide.

8. Understand The Context

Learn how the organization operates. Interact with various teams and find out how everything works as a whole. . Learn about the various functions behind the running of the business. You will earn newfound appreciation for your employer and have a better understanding of what you’re doing as well.

9. Impress With Your Hard Work

This doesn’t mean you have to kill yourself with 90 hour weeks. Still, be willing to work hard and after-hours at times. Offer total support to your manager, such that he or she sorely misses you once the internship is over.

10. Watch The Clock

When assigned a task, do it within the given time. If you have doubts, get them clarified immediately. Find out if your manager will be available to clarify, or get the name of another person you can approach with doubts.

11. Understand Your Own Needs And Limitations

An internship is the perfect opportunity to pinpoint what kind of work you’d like to do, and what kind you don’t want to do. This understanding will help you fine-tune your resume and your inclination for your future career.

12. Don’t Duck Your Responsibility

Be bold, and admit to your mistakes. If you’re criticized, accept it and see about improving your work. Don’t look for a trophy – it’s not Little League. Sometimes it’ll be unfair, but you have to take it on the chin and do your best.

On the rubbish tip

I was out walking with the dog recently when I walked past a skip which was crammed with rubbish, I noticed at the top of the pile was a rather sad looking teddy bear, wet through and looking a little worse for wear. It struck a chord with me as I felt sorry for him – I could imagine him in his original glory and wondered how he’d gotten to be in such a sorry state. I took a photo of him (see below) and posted it to facebook and had a fair few comments about how sad it was etc. which got me thinking about other things we once cherished and eventually discarded as rubbish.

One of those things I used to love and then hated was my Blackberry Storm – it started out like a fantastic user friendly and reliable piece of technology and soon became dated, clunky and to be fair – thrown about in frustration. It was soon superseded by an iPhone which was like a dream come true in comparison – which gets discarded as every new model is released. The same goes for laptops and old tablets etc but we can argue that we do not have an affinity to a piece of technology whereas a teddy bear is something we use as soothers for children and sometimes as declarations of love in relationships. However, I know a fair few people out there who almost have a relationship with their Smartphone and feel like their limbs have been severed if they get separated from them.

Taking it back to the workplace – sometimes it is good to revisit systems and processes we have previously used as going back to basics is an effective way to re-evaluate how we work. That trusty old excel spreadsheet which got superseded by a shiny new software package etc. not all old, seemingly outdated things are ready for the rubbish heap yet. After all if it worked once before then there may be something there which could work for a new initiative moving forward. So please don’t throw out your teddy bears – recycle them!
