The Project Lifecycle – Project Management CV Writing

One key area not considered or talked about in a great deal of project management CVs is the project lifecycle – assuming that the reviewer knows you work through a structured approach is a big mistake. As project practitioners we all work differently, some don’t work through any methodology and governance is none existent. Therefore a great starting point for writing out the remit of each role would be to use the lifecycle framework as a core structure to then build on. Let’s have a look at the project lifecycle:

Initiation – The beginning phase where objectives are defined and a business case is drawn up. At this point a decision whether to initiate the project itself based on a review of core areas such as cost, deliverables, scope, purpose, resources, timescales, structure, impact, etc.

 

Planning – The project is now assessed in terms of time, cost and resource; as a starting point but should be continuously updated, changed and evolved throughout the course of the project.

 

Execution – The project actually happens, usually overseen by the project manager and supported by the project team. Activities will be monitored and controlled throughout this phase and regular updates will be presented to the senior management team/sponsors/customers etc.

 

Close – Like all good things, everything must come to a close. It is especially important that projects are closed down effectively and success celebrated or lessons learnt from failure.

 

Now take a look at your CV and see if any aspects of the above are actually addressed? I bet there’s a list of skills but no real information or examples; am I right? Then you need to go back to the drawing board and produce a CV which employers want to see and recruiters will fall over themselves to sell you to their clients.

Planning the Planning on your PMO CV – PMO CV Tips

Carrying on with the PMO CV tips series, today we will look at Planning. Planning is one of the key areas to success with every element of project management and the PMO pays a large part in ensuring plans are in place and fit for purpose. There are many areas of planning you may be involved in and it is important that you are addressing this core competency on your CV. I have come across many PMO roles which take a different slant to the amount of input  required to programmes of work – some PMOs write the project plans for the project managers whereas others coach PMs to write them and of course the is cross programme planning to take into consideration also.

Portfolio planning is a strong area within PMOs and again it comes down to who is putting these together, monitoring and updating them. Think about all aspects of your input into planning and write a list, once you have a strong list, you need to then think about how you should convey this information on the CV. For example you may be able to box together certain elements of the planning into 2 or 3 core areas, if one area is around coaching and advising PMs on putting together plans then talk through what you actually do to achieve this. In larger organisations with big teams you may find that running workshops is an effective approach. Talk through how you put together the workshop materials and run the events – are you performing presentations or taking a more collaborative approach? Are your PMs actually business heads who have been asked to manage projects, so they are subject matter experts but haven’t formally managed projects. Or are you implementing a new project management structure to the business and working with experienced PMs? What are the templates you are introducing to the team? Are they based on any specific models and what software are you using? By pulling together these pieces of information and placing in a concise bullet point within your role remit, you will be greatly enhancing your CV and making it much easier for recruiters and hiring managers to really understand what your input is into this core area which is almost certainly always asked for in a job description.

When relationships fail – project management woes

Interesting topic, as relationships are the basis of life – whether it is partners, children, pets, colleagues, or suppliers to name a few. So how do we keep a relationship healthy and happy? A starting point has to be managing expectations, you commit to a certain level of engagement and this must be clear from the outset. Most of the time, with personal relationships this tends to be easier as you agree to call or do something and as long as you keep on top of your commitments then you have a healthy relationship. In work it can be difficult to juggle relationships especially when you are very busy and are constantly asking for parties to do something for you (usually because it is in the plan). So when things occasionally go sour or you inherit a bad relationship with a client or supplier, what should you do?

  • What went wrong – talk to all involved to get a greater understanding of when the relationship started to struggle.
  • Discuss feelings – all sounds very touchy feely I know but just listening to others and letting them vent their frustrations can relieve tension greatly.
  • Listen to all points of view – don’t just listen to those who shout loudest, take time to speak with those who seem to be happy (it is often these who are just “getting on with it” grumbling under their breath).
  • How can we put things right? Having taken in all views and opinions it is time to sit down and work out a strategy to improve the working environment moving forward. Take an inclusive approach, call a meeting with all involved and talk through your ideas and reassure everyone that you are acutely aware that things need to change and will.

I remember back when I first started managing my own projects, my programme director told me to refer to the plan with workstream leads who were not prioritising my projects. I did as I was told for a while but found that this corporate threat was damaging my relationships, I decided to take a different approach, bearing in mind I was working within a matrix environment so often had to go to their managers with the threats. I decided to spend some time with each workstream lead, visiting them in their work environments, having a coffee and chat about their workloads. I found that explaining the benefits to them completing their commitments to my projects and sympathising with their woes really started to build relationships to the point that they were very honest about statuses and pressures from others within the business. From this I met with other managers to discuss how we could all get what we needed. It wasn’t completely fool proof but certainly made for a more productive and happier work environment. Just remember that yes there is a plan but just because it is there doesn’t mean it will be followed without some intervention and management of expectations.

What could possibly go wrong? Irrational fears

We’ve all had a nightmare at work at some point and project management in its own right is probably home to more war stories than most professions – but how does this affect our lives and perceptions moving forward? For most of us, we learn from our experiences and carry a great deal of battle scars which tend to make us a little more wary if not more prepared when venturing into a new challenge, however sometimes we can let our thoughts and actions go into overdrive and start having irrational fears.

I will share with you an irrational fear I used to have when I worked for a large blue chip business. On a Monday morning – I was tasked with gathering the weekly financial data for output of all the European manufacturing sites. Once I had all the data I had to produce a report of all the figures for a meeting with the heads of sites, company president and other senior managers’. So as you can imagine – this was a task which could not be put to the back of the “to do” list, in all fairness I found the task a bit of a bore but also knew the importance of having the report ready an hour before the video conferencing. I would contact all of the logistics managers across the manufacturing sites every Monday with a friendly email reminder, followed by a call for those who still hadn’t sent over their reports. Now I don’t want to single out a particular site but there was one which was notoriously late with their reports, in fact they were so bad that I would have called at least 3 times after the initial email which never generated a response. I would be patched through to various departments on each call and basically told that the relevant staff had gone for lunch. Sometimes this was mid morning (even with the time difference), so it became a bit of a joke that this site were basically always eating. This is where my irrational fear came about – as I got it in the neck for my report being late and it was always this site which made me late (despite many meetings /conversations and discussions trying to clarify what the issue was at their end) that I began to believe that they were in fact all sat eating ALL DAY on a Monday.

From then on, I have always been very keen to plan project meetings well ahead of deadlines with the manufacturing site in question – even making up deadlines to be well ahead of the real deadlines in a bid to try and get my projects completed on time; it worked and I did just hit my deadlines on projects but the financial reporting never got in on time from them.
